TO MAKE A BOOKING

1) Check availability of places by filling in the trip availability form or by contacting Marmot Tours

2) Wait for confirmation of places, by telephone or email.

3) Fill out our online Booking Form and arrange for a £150 non refundable deposit to be sent to us. See Payment Methods below. This is then the start of the contract between Marmot Tours and yourself. See terms and conditions for details of this contract. Please note that a separate booking form is required from each person, but joint payments are accepted.

4) Wait for confirmation that we have received your Booking Form and Payment - this may take up to 10 days. We will reply by email with a receipt / invoice and final payment details.  

5) Sort out your Transport arrangements and let us know how you are getting out here.

6) Sort out adequate Insurance cover (see below) and get your EHIC card if you don't already have one (European residents only). Please ensure that your insurance policy covers cancellation by you.

7) Pay the balance for your holiday 8 weeks* prior to departure - internet banking allows you to set up payment for a specific date so this may make life easier for you.

8) Turn up and have an excellent holiday.

*Changed from £100 to £200 and from 4 weeks to 8 weeks on 16-6-10 due to Marmot Tours receiving a high number of cancellations at the 5/6 week stage before  trip, and therefore being unable to fill places at the last minute.

PAYMENT METHODS

We apologise that we can't accept credit or debit cards, as the costs involved in this technology are currently prohibitive for a small company such as ourselves. 

UK Customers:

Internet Bank Transfer (BACS): This is our preferred method of receiving payment from people in the UK. It is simple, safe and does not incur you any fees. Tick the appropriate box on the booking form and we will get back to you with our UK trust account bank details.

UK Cheque:
Payable to "Marmot Tours Ltd" and posted to Marmot Tours, Solomons Farm, Latchley, Nr Callington, PL18 9AX. Please write the trip name / dates on the back of the cheque.

PayPal (within UK): We can receive payments by PayPal, but due to the high charges, £20 will be added to the cost of your holiday. If you do not have a PayPal account then you can securely give PayPal your card details simplifying the process. More info on PayPal (external website). Tick the appropriate box on the booking form and you will receive an email from PayPal requesting payment.

Overseas Customers:

PayPal: Safe, secure system of transferring money Internationally - we invoice you in £ sterling and your bank account gets debited in your local currency at a competitive exchange rate.  If you already have a PayPal account this is the easiest way of getting money to us, but due to the high charges, £35 will be added to the cost of your holiday and the charge will be per person paying with Paypal. If you do not have a PayPal account then you can securely give PayPal your card details simplifying the process. More info on PayPal (external website). Tick the appropriate box on the booking form and you will receive an email from PayPal requesting payment.

International Bank Transfer: The process / charges for making an International transfer varies from bank to bank and country to country. It normally involves visiting your bank and there are charges for each transaction, so most people opt to send full payment to us at the time of booking.
 

SPECIAL OFFERS / DISCOUNTS

5% early bookers discount:
If we receive your deposit more then 3 months prior to the trip departure day, you will receive a 5% discount on the cost of the holiday. Early booking saves you a lot of money on flights, making the break very reasonable. This discount does not apply to bike hire or single supplements.

Loyalty scheme.
If you enjoy our product and want to come back, you will receive a 10% discount from your 3rd holiday onwards. This discount does not apply to bike hire or single supplements. In addition this cannot be combined with the 'early bookers' discount as our maximum discount is 10%. 

If we have tailored a trip for you and a group of friends, our quoted price already includes a group discount, so no further discount can be given. However if it your 1st or 2nd trip with us, it counts towards you being a loyal customer.  

Only holidays with published value of over £250 count towards the loyalty scheme

Groups
For our scheduled holidays, if you can get 6 other people together we will offer a group discount (ie min. 7 people). We can either offer the entire group a 10% discount, or give the group organizer the equivalent amount off the cost of their own holiday (to acknowledge how hard it can be to get your friends to commit). This discount only applies to the basic holiday cost so does not apply to extra nights, bike hire or single supplements. This cannot be combined with the 'early bookers' discount as our maximum discount is 10%. 

 

FINANCIAL SECURITY

All payments made to Marmot Tours Ltd. are held in a "Trust Account" until the end of your holiday. This protects your money and ensures a full refund of any payment made to Marmot Tours Ltd, in the unlikely event of Marmot Tours becoming insolvent. Marmot Tours is not ATOL (Air Travel Organisers' License) bonded as it does not include flights in the price of any of the tours.

We are an established operator for Exodus Travels and High Places and until their merger with Waymark Holidays, who trust us to organize and run trips for them. As a small company we rely on our reputation of providing a quality service. It is in our best interests to ensure that you have the best possible holiday as bad news spreads faster than good news. HOLIDAY GUARANTEE

We have had several people asking what would happen if one of us had an accident and are unable to lead the trip. Please rest assured that we would do everything we can to ensure that you still have an enjoyable holiday. We have been working in the industry long enough to have lots of contacts who we can call on in short notice to lead the trips for us.

HOLIDAY INSURANCE

It is essential that you have travel insurance before coming on our holidays. We advise that you take out insurance at the time of booking your holiday with us, so that you can recover the cost of you holiday if you need to cancel due to accident or change in circumstances before the trip starts. There are many annual / single trip policies available but please make sure the following things are covered:

  • Cancellation by you prior to coming on the holiday.

  • The holiday activity is listed as a 'permitted' sport activity.

  • Transportation to hospital in the case of an accident.

  • Medical expenses / assistance.

  • Repatriation / assistance with transport.

If you can not prove that you have an adequate insurance policy at the start of the trip then unfortunately you will not be allowed to participate in the activity.
